CDS Launches Secure, Socially Distanced Managed Review

While companies and law firms grapple with putting certain projects on hold due to the coronavirus, eDiscovery can move forward using CDS Managed Review technology. Our new enhanced capabilities are available to all clients providing secure remote access to team members to keep eDiscovery on schedule.

What is Secure, Socially Distanced Managed Review?

Federal, state, and local governments are requesting or mandating that employees work in a socially distanced environment. In the eDiscovery context, the need to maintain social distancing can present an added challenge both in terms of security and efficiency. However, CDS Managed Review (CDSMR) minimizes these concerns providing technology and processes that effectively balance societal needs, concern for the wellbeing of our review teams, and the confidential nature of our clients’ data.

CDS’s Secure, Socially Distanced Managed Review provides a high level of security of our clients’ confidential data as well as ensures efficient highly engaged review teams. CDSMR utilizes a biometric enhanced, multifactor login virtual desktop environment for our review teams. Each environment is customized for each matter and only those resources that the review team needs are made available.

Biometric enhancements include:

  • Webcam user identity authentication
  • Gaze tracking (blurred screen when the authorized user is not looking at the screen)
  • Single authorized user detection (blurred screen when other nonauthorized users are present)

Other security features available include:

  • Print/Save/Copy restrictions
  • Browsing URL restrictions
  • Email domain and individual email address restrictions (inbound/outbound)
  • Permissible login time schedule
  • Dedicated project and user email address
  • Host IP whitelisting
  • Encryption at Rest
  • Audit trails

While these security measures are valuable in any environment, they are essential where team members are working remotely. CDS has embraced the need for our Lawyer Technologists to keep themselves and their loved ones safe and distanced during this uncertain time. By deploying this technology, we can maintain business and project continuity since the review teams that were working on a project before the coronavirus are still working on it now.

How Does it Work?

From the client perspective, very little changes. Once CDSMR is brought into a matter, we begin by recruiting the most qualified Lawyer Technologists to work on your matter. Behind the scenes, we confirm that their remote review location has adequate security to perform the work and help them install the security platform.

Once a team is recruited, a training conference call or video conference call takes places. Following that, the review commences and CDS Review Managers closely monitor the progress of the review team. We conduct the same levels of individual and team quality control as we would if the project was happening in one of our review facilities.  We are also communicating regularly with the team to make sure all questions and concerns are addressed in real time.

Although the location of reviews may have changed, in every other way, the CDSMR experience remains the same. Our best in class consulting, review and project management, and quality control is here to support the review needs of our law firm and corporate clients.
