Self-Service Data Processing: Turning eDiscovery From a Cost Center to a Profit Center

When managing an eDiscovery project, many law firms and legal departments rely on eDiscovery vendors to handle their data processing. This provides many advantages, including:

  • Utilizing detailed workflows for data intake and tracking
  • Monitoring processing for large data sets with 24-hour support teams
  • Detailed exception handling for issue files, including password protected documents

However, some Complete Discovery Source (CDS) clients with large internal eDiscovery teams require self-service processing. Self-service processing allows experienced teams to run their own processing while utilizing our team of experts for complicated data sets or when large matters require additional resources.

The access required to allow our clients to run their own processing has traditionally been provided as part of Managed Services arrangements, where our clients have their own Relativity integration built and managed by CDS.

RelativityOne Provides Self-Processing Options

However, with the release of RelativityOne, those clients were given a domain with a segregated area of cloud storage to store their own data and run their own processing via long-term subscription-based services. These agreements allow our clients to turn eDiscovery processing and hosting from a cost center to a profit center, something especially beneficial for law firms and corporate legal departments that have numerous repeat matters and require constant access to an eDiscovery platform over multiple years.

At times, our clients want control over their own data and the ability to process small amounts of data themselves, using their own resources to reduce consultancy costs. This is now an option with the release of RelativityOne’s web-based Import/Export tool, which enables users to drag and drop data directly into their Relativity workspace for full document processing.

Pre-existing templates designed and managed by CDS are available with set options for simplicity of processing. Unlike other eDiscovery tools with similar features, Relativity allows for customization of these templates to meet individual case requirements. Once the data is transferred and a custodian is selected, Relativity will automatically process, de-duplicate and publish the data.

Self-service processing can also be deployed alongside Relativity automated workflows so that as soon as data is processed, repeatable workflows – building indexes, running search terms, and running detailed structured and conceptual analytics tools – are applied automatically. All these advanced processes take place in the background while the user receives automated emails outlining progress, allowing teams to avoid process monitoring and go about their day-to-day work.

Tools such as Relativity’s drag and drop processing and automated workflows allow teams of any size to take greater control of their data, reduce costs, and run Relativity as their own internal platform – without the yearly overheads. Partnering with a Relativity Gold partner like CDS allows you to control your data and offers a sense of security in knowing you have a partner to provide training, support and project management/consultancy services when required. Once your data is processed, proprietary tools such as CDS Vision enable your team to gain deeper insights into the data by providing detailed reporting that quickly filters out irrelevant data, recognizes Personally Identifiable Information (PII) and identifies critical data more quickly.
